Speaker Submission Requirements & Guidelines

Welcome to the CVPE Speaker Resource page. This site contains information and resources to help you prepare your presentation materials. If you have questions or need assistance, please contact the Center for Veterinary Postgraduate Education (CVPE) at [email protected].

As a CVPE speaker, you have been provided with a password to access the content in the Speaker Resource Box folder. When prompted, enter the password to access the viewable and downloadable files.

Required Speaker Submissions

Required Submission Materials

For each session, please submit the following materials to the Center for Veterinary Postgraduate Education (CVPE) at [email protected]. These materials are required for continuing education (CE) credit approval.

PPT Guidelines

PowerPoint Presentation Requirements

For in-person conferences, please submit your PowerPoint presentation to [email protected] no later than one week before the conference.

A presentation computer will be provided for all speakers. To ensure smooth transitions between sessions, personal laptops cannot be used.

Your presentation must include a Speaker Disclosure Slide at the beginning of your presentation identifying any relevant financial relationships or conflicts of interest. (Speaker Disclosure Slide Template)

As you prepare your presentation, you are welcome to use the UC Davis Weill School of Veterinary Medicine PowerPoint Template.

Speaker Proceedings

Speaker Proceedings Guidelines

Speaker proceedings are preferred and should be 1–5 pages, including references. Review the Speaker Proceedings Guidelines for additional information.

However, a PDF version of the PowerPoint presentation may be submitted in lieu of speaker proceedings. If choosing this option, please save the PDF with three slides per page before submission.

Speaker bio and photo

Speaker Bio and Photo Guidelines

As a speaker, your speaker agreement will request a professional biography and photo for use in event materials.

Speaker dress code

Speaker Dress Code Guidelines

Please review the Speaker Dress Code Guidelines prior to the program. Speakers are expected to dress in professional attire appropriate for a continuing education program. 

Speaker check in

Speaker Check-In Guidelines

In-Person & Hybrid Events
Speakers are encouraged to arrive at least 30 minutes prior to their scheduled lecture start time. Upon arrival, please check in at the registration table to receive your speaker name badge. After registration, proceed to the on-site AV team for additional check-in and coordination. If you have updated presentation slides, please bring them on a thumb drive so staff can upload them to the main presentation computer.

Virtual Events
Speakers should log in to the Zoom webinar at least 30 minutes before the scheduled start time. This allows time for staff to complete an audio/visual (AV) check prior to the webinar going live.

Honorarium payments for UC Davis-affiliated speakers are processed through UC Davis Payroll. For information about the payment process, routing, and expected timeline, please review the UC Davis-Affiliated Speaker Honorarium Payment Timeline.

Non-Affiliated Speaker Honorarium Payment Information

Non-Affiliated Speakers

Honorarium payments for non-affiliated speakers are processed through the Candex payment platform. You will receive an email with instructions for accessing the platform and accepting your payment.

Once you accept the payment through Candex, your honorarium will be processed, and you will receive notification with information about when to expect your payment.
